Terms & Conditions

These Terms & Conditions apply to your use of the Brighter Miles Limited website and to any travel planning, booking, consultancy, coordination, or related service supplied by us.

Please read these Terms & Conditions carefully before submitting a booking request or making a payment. By using our website, approving a quotation, instructing us to make a booking, or paying an invoice, you confirm that you have read, understood, and agreed to these Terms & Conditions.

1. About Brighter Miles Limited

Brighter Miles Limited (“Brighter Miles”, “we”, “our”, or “us”) is a travel consultancy and booking intermediary registered in England and Wales.

In these Terms & Conditions, “you” and “your” mean the person making the booking, each traveller included in the booking, and any person benefiting from the services arranged by us.

2. Our Services and Role

We assist customers with researching, planning, sourcing, coordinating, and managing travel arrangements. These arrangements may include flights, accommodation, transfers, vehicle hire, cruises, tours, activities, insurance referrals, and other travel-related services.

Unless expressly stated otherwise in your booking confirmation, Brighter Miles Limited acts as an independent travel intermediary or booking agent. The travel products included in your booking are supplied by independent third-party providers, including airlines, hotels, tour operators, transport companies, cruise lines, and activity providers (“Travel Suppliers”).

We do not own, operate, manage, or directly control the aircraft, hotels, vehicles, vessels, attractions, or other travel services supplied by Travel Suppliers.

A contract for a travel service may be formed directly between you and the relevant Travel Supplier. Where applicable, the Travel Supplier’s terms and conditions will apply in addition to these Terms & Conditions.

3. Eligibility and Authority to Book

You must be at least 18 years old and legally capable of entering into a binding contract to make a booking with us.

Where you make a booking for another person, you confirm that:

4. Quotations and Availability

Quotations are based on the information available to us at the time they are issued. Unless expressly stated otherwise, a quotation does not guarantee availability or create a confirmed booking.

Travel prices, availability, exchange rates, taxes, fees, and supplier charges may change at any time before the booking is confirmed and full payment is received.

A booking is not confirmed until:

We reserve the right to correct obvious pricing, availability, description, or system errors. Where an error affects a pending booking, we may offer you the option to proceed at the correct price or cancel the affected arrangement and receive a refund of amounts paid for that arrangement.

Changes requested after confirmation may be subject to supplier amendment fees, fare differences, cancellation charges, and additional service or administration fees.

Brighter Miles Limited will not be responsible for losses, denied boarding, cancellation charges, or additional expenses arising from incorrect information supplied by you or from your failure to review the documents we provide.

6. Prices, Fees and Payment

Before payment is requested, we will provide an invoice or other written summary setting out the amounts due. The total may include:

Payment must be made by the deadline stated on your invoice or quotation. Travel arrangements may be cancelled, repriced, or released if payment is not received on time.

In some cases, you may be asked to pay a Travel Supplier directly. We will tell you when this applies and identify the party responsible for collecting the payment.

Your bank or card provider may impose currency-conversion, international transaction, or other payment charges. These charges are determined by your bank or card provider and are not controlled by Brighter Miles Limited.

7. Supplier Terms and Restrictions

Each Travel Supplier has its own booking conditions, fare rules, cancellation policies, baggage rules, check-in requirements, and restrictions. By confirming a booking, you agree to comply with all applicable supplier conditions.

Supplier conditions may include:

A breach of a Travel Supplier’s conditions may result in cancellation, denied boarding, refusal of service, loss of money paid, or additional charges.

8. Passports, Visas and Entry Requirements

You are responsible for ensuring that every traveller has all passports, visas, permits, transit visas, identification documents, and other entry or exit documents required for the complete journey.

Passport, visa, immigration, and transit requirements may change. You should obtain current information from the relevant embassy, consulate, government authority, or official immigration service before booking and again before departure.

You must consider every country included in your itinerary, including countries where you are only connecting or transiting.

Brighter Miles Limited is not responsible where a traveller is denied boarding, detained, deported, refused entry, or otherwise affected because they do not hold the correct or valid documents.

9. Health, Vaccinations and Travel Advice

You are responsible for checking and complying with all health, vaccination, testing, medication, quarantine, and insurance requirements applicable to your journey.

You should obtain appropriate medical advice before travelling, particularly if you have an existing medical condition, are pregnant, require medication, or are travelling to an area with specific health risks.

You should review current official travel advice issued by the UK Government and the relevant authorities for each destination before booking and before departure.

By arranging travel to a particular destination, Brighter Miles Limited does not represent that travel to that destination is safe, risk-free, or suitable for you.

10. Travel Insurance

We strongly recommend that every traveller obtains comprehensive travel insurance as soon as a booking is confirmed.

Your insurance should be suitable for your personal circumstances and may need to cover:

Brighter Miles Limited is not responsible for losses that could reasonably have been covered by suitable travel insurance.

11. Changes Requested by You

Requests to amend a confirmed booking must be submitted to us in writing. We will make reasonable efforts to assist, but changes are subject to availability and the relevant Travel Supplier’s conditions.

12. Cancellation by You

13. Changes or Cancellations by Travel Suppliers

Airlines, hotels, and other Travel Suppliers may change or cancel services due to operational, commercial, regulatory, safety, weather, or other reasons.

Where a Travel Supplier changes or cancels a service, we will provide reasonable assistance in communicating available options. Any refund, credit, replacement service, or compensation will be subject to the supplier’s terms and applicable law.

Unless required by applicable law or expressly agreed by us, Brighter Miles Limited is not responsible for the cost of alternative accommodation, replacement transport, meals, telephone calls, missed connections, lost earnings, or other additional expenses caused by a supplier change or cancellation.

14. Force Majeure and Events Beyond Our Control

Neither Brighter Miles Limited nor a Travel Supplier will be responsible for failing to perform an obligation where performance is prevented or materially affected by events outside the relevant party’s reasonable control.

Such events may include severe weather, natural disasters, fire, flood, epidemic, pandemic, war, terrorism, civil unrest, industrial action, government restrictions, border closures, airspace closures, airport disruption, technical failures, utility failures, cyber incidents, or transport-system disruption.

Your rights in these circumstances will depend on the nature of the booking, the relevant Travel Supplier’s terms, your insurance policy, and applicable law.

15. Check-In, Identification and Incidental Charges

You are responsible for checking in by the required time and presenting all identification, payment cards, booking documents, and security deposits required by the Travel Supplier.

Hotels, cruise operators, vehicle-hire companies, and other Travel Suppliers may require a credit or debit card at check-in to cover incidental expenses or a security deposit.

Unless expressly included in your booking confirmation, your booking price does not include personal or incidental expenses such as:

16. Missed Departures and Unused Services

You are responsible for arriving at airports, ports, stations, hotels, and other departure points with enough time to complete all check-in and security requirements.

Brighter Miles Limited is not responsible for a missed departure, connection, transfer, tour, or other service caused by your late arrival, insufficient travel documents, failure to follow instructions, or circumstances outside our reasonable control.

Travel Suppliers may cancel onward or return sectors where an earlier sector is not used. You should contact us and the relevant Travel Supplier immediately if you miss or do not intend to use any part of your itinerary.

17. Special Requests and Accessibility

Please tell us about any accessibility requirements, medical needs, dietary requirements, mobility assistance, or other special requests before booking.

We will pass reasonable requests to the relevant Travel Supplier, but a request cannot be guaranteed unless the supplier expressly confirms it in writing.

You should verify before travel that any essential assistance or facility has been confirmed.

You may use our website only for lawful personal or business travel enquiries and bookings.

20. Fraud, Payment Disputes and Chargebacks

We may suspend or cancel a booking where we reasonably suspect fraud, unauthorised payment activity, abuse, or inaccurate information.

Before raising a payment dispute or chargeback, you should contact us so that we have a reasonable opportunity to investigate and resolve the matter.

A chargeback does not automatically cancel your booking or remove your responsibility for valid charges. Where a chargeback is raised for a valid and properly authorised payment, we may recover outstanding amounts and reasonable costs incurred, subject to applicable law.

21. Complaints

If you experience a problem during your trip, you should report it immediately to the relevant Travel Supplier and give them a reasonable opportunity to resolve it.

You should also contact Brighter Miles Limited as soon as reasonably possible so that we can provide appropriate assistance.

22. Limitation of Liability

Brighter Miles Limited is responsible for performing its own travel consultancy and booking-coordination services with reasonable care and skill.

Subject to applicable law, we are not responsible for the acts, omissions, errors, service failures, delays, cancellations, insolvency, overbooking, negligence, or misconduct of independent Travel Suppliers.

We will not be liable for losses that:

Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by our negligence, fraud, fraudulent misrepresentation, or any statutory rights that cannot legally be excluded.

23. Financial Protection

Brighter Miles Limited is a member of Protected Trust Services (“PTS”) and operates a protected client-money trust account for applicable bookings in accordance with the PTS Trust Account Rules.

Where applicable, customer payments are held within the Protected Trust Services trust account until suppliers are paid in accordance with the agreed booking arrangements.

Financial protection applies only where it is expressly stated in your booking confirmation and remains subject to the applicable PTS Trust Account Rules.

The use of a trust account does not mean that every service, payment, or booking is covered by the same form of financial protection.

25. Personal Information

We process personal information in accordance with our Privacy Policy.

To arrange your booking, we may need to share relevant personal information with Travel Suppliers, payment providers, technology providers, regulators, authorities, or partners located in the United Kingdom or overseas.

You confirm that you are authorised to provide personal information relating to every traveller included in your booking.

26. Communications

Booking confirmations, invoices, itinerary updates, schedule changes, and other important communications may be sent to the email address or telephone number provided by the lead passenger.

You are responsible for ensuring that your contact information is accurate, checking your messages regularly, and notifying us promptly if your details change.

27. Changes to These Terms

We may update these Terms & Conditions from time to time to reflect changes to our services, supplier arrangements, industry practices, or legal and regulatory requirements.

The version applicable to your booking will normally be the version in effect when your booking is confirmed, unless a change is required by law or is expressly agreed with you.

28. Severability and Waiver

If any provision of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions will continue in full force.

A failure or delay by Brighter Miles Limited in enforcing a right under these Terms does not waive that right.

29. Entire Agreement

These Terms & Conditions, your booking confirmation, invoice, applicable supplier terms, and any written terms expressly agreed between you and Brighter Miles Limited form the agreement relating to your booking.

Nothing in these Terms creates a partnership, joint venture, or employment relationship between Brighter Miles Limited and any Travel Supplier.

30. Governing Law and Jurisdiction

These Terms & Conditions and any non-contractual obligations arising from them are governed by the laws of England and Wales.

Subject to any mandatory consumer rights that apply to you, the courts of England and Wales will have jurisdiction over disputes arising from or connected with these Terms & Conditions or your booking.

Refund and Cancellation Policy

This Refund and Cancellation Policy forms part of the Brighter Miles Limited Terms & Conditions. Refunds for travel products are governed by the conditions of the relevant Travel Supplier and any applicable law.

1. Consultancy and Service Fees

Our consultancy, planning, coordination, service, and administration fees pay for work carried out by Brighter Miles Limited.

Unless otherwise stated in writing, these fees are non-refundable once we have started researching, planning, communicating with suppliers, preparing an itinerary, or processing a booking.

Where no work has started, we may refund some or all of a service fee at our discretion, less any reasonable administrative or payment-processing costs already incurred.

2. Supplier Refunds

Refunds for flights, hotels, transfers, vehicle hire, cruises, tours, activities, and other travel products are subject to the relevant Travel Supplier’s fare rules and cancellation conditions.

3. Cancellation Before Confirmation

Where you cancel before any Travel Supplier booking has been confirmed, you may be entitled to a refund of amounts not already paid or committed to a supplier.

Once a booking has been confirmed, the relevant Travel Supplier’s cancellation terms will apply.

Cancellation charges may be as much as 100% of the booking value, particularly for restricted airfares, promotional rates, event periods, cruises, packages, or other non-refundable products.

Our own service, consultancy, and coordination fees will normally remain non-refundable.

Where a Travel Supplier cancels or materially changes a service, any refund, credit, rebooking, or alternative arrangement will be subject to the supplier’s policy and applicable law.

We will provide reasonable assistance with rebooking or refund requests, but we do not control the supplier’s decision or processing time.

7. Refund Processing Times

We can process or pass on a refund only after the relevant funds have been received or released by the Travel Supplier, except where applicable law requires otherwise.

Supplier processing times vary and may be affected by banking systems, card providers, currency conversion, or the payment method originally used.

Approved refunds will normally be returned using the original payment method where reasonably possible.

Where a chargeback is raised for a valid and authorised booking, the booking may remain subject to cancellation charges and other amounts lawfully due.

11. Statutory Rights

Nothing in this Refund and Cancellation Policy limits any refund, cancellation, or other consumer right that cannot legally be excluded under applicable law.
